Sanctioning

Sanctioning refers to the endorsement of your tournament by a governing body. The governing body may be your provincial or national sports organization. Typically sanctioning comes with certain requirements. For example, participants in your tournament may need to be a member of the sanctioning body so that they can have their results count towards their provincial or national ranking, or so that they can be insured while participant in the tournament.

SportyHQ helps in the sanctioning process by allowing you to apply to your governing body via the tournament interface. The sanctioning body will need to be a SportyHQ customer. If you are unsure, feel free to ask us, or reach out to the governing body.

If you are sure that the sanctioning body is using SportyHQ, then you can request sanctioning using the process outlined below.

Apply through the Tournament Interface

From your Administrator bar, click the Request Sanctioning link.

If the governing body you are requesting sanctioning by is setup in SportyHQ, then you will see their name in the dropdown list on the following page.

If you don't see them listed, then you will need to contact them to inquire as to how you can sanction your tournament.

Select the appropriate governing body from the dropdown. The page will reload with a form that you'll need to complete your sanctioning request. In our example, we are going to request sanctioning by Squash BC.

You'll need to complete the following information to submit your sanctioning request:

  • Agree to the terms and conditions outlined on the page.
    These terms and conditions are written by the sanctioning body.
  • Select your requested rating multiplier
    This determines the multiplier that is used for SportyHQ's rankings. The higher the multiplier, the more important the event. Higher level multiplier events usually have more stringent sanctioning requirements. For example, a 2x event may require you to offer over a certain level of prize money, or be a provincial level championship event. The sanctioning rules of your governing body will determine the level of multiplier that you can apply to your event. If you are unsure of the multiplier level you should use, please contact the sanctioning body.

When you have completed the page, press the Submit Sanctioning Request button.

Once you hit submit, the sanctioning body's representative(s) will receive an email indicating that you have applied for your tournament to be sanctioned. They will need to approve your application via their administrative interface in SportyHQ. The timeframe this takes is entirely up to them.

When they approve your application, you'll receive a confirmation email letting you know that the event is now sanctioned. On your tournament's page, you'll also see:

  • A new box information participants that the event has been officially sanctioned.
  • The rating multiplier that will be used.

If your application for sanctioning is rejected, you'll also receive an email. This email should indicate the reason for the rejection. Assuming you can correct any issues, then you can reapply for sanctioning using the same process outlined above.
